If an employee has left the organization and you wish to redirect emails sent to their deleted office email address to another account, you have two options:
A) Set the ex-employee's email ID as an alias to the desired email ID. This ensures that any emails sent to the former employee's address are automatically forwarded to the designated account.
Pros:
- Emails are seamlessly forwarded to the designated email ID without any manual intervention.
- The process of setting up an alias is relatively straightforward and can be easily managed by the organization's IT team.
- There is less confusion as the redirection is direct and specific to a single account.
Cons:
- Sensitive information meant for the ex-employee might be accessible to the recipient of the forwarded emails, which could raise privacy concerns.
- Mail policy cant be applied on alias IDs.
B) Alternatively, create a group with a name identical to the ex-employee's email ID. You can then add the necessary members to this group, ensuring that emails intended for the former employee will deliver to the members of that group.
Pros:
- Multiple individuals can access the emails, ensuring that important information is not missed and can be handled by the appropriate team members.
- Team members within the group can collaborate on any tasks or communications related to the ex-employee's responsibilities.
- This method allows for a smoother transition in the case of a sudden departure, as multiple people can be involved in managing the communications.
Cons:
- Managing the group and ensuring that the right individuals have access to the emails might require additional administrative efforts.
- With multiple individuals having access, there might be confusion about who is responsible for responding to specific emails, potentially leading to delayed or inadequate responses.
- If sensitive information is involved, the accessibility of the emails to multiple members might raise security concerns.
